Executive Assistant

About the role

Vector Global Logistics is seeking a proactive, highly organized Executive Assistant to support its leadership team. This role blends traditional administrative duties with relationship building, talent identification, and business development support across the freight forwarding and logistics industry.

Key responsibilities

• Manage calendars, coordinate meetings across multiple time zones, and prepare meeting materials.
• Track commitments, follow‑ups, and action items to ensure consistent execution.
• Monitor and respond to LinkedIn messages, engage connections, and arrange introductory conversations with potential clients and partners.
• Identify and engage potential commercial talent, support sourcing, outreach, and maintain recruiting records.
• Support networking and business development initiatives, maintain outreach records, and streamline administrative processes.

Required profile

• Comfortable interacting with C‑suite executives, senior leaders, clients, and external partners.
• Highly organized, detail‑oriented, and able to manage multiple priorities simultaneously.
• Proactive, takes ownership, identifies opportunities, and improves processes without constant direction.
• Curious about logistics, motivated by continuous personal and professional development.
• Demonstrates maturity, sound judgment, discretion, and aligns with values of transparency, trust, and continuous improvement.

Required skills

• Proficiency with LinkedIn for networking, sourcing, and lead generation.
• Experience using digital productivity tools and CRM/contact management systems.
• Excellent English communication skills; additional languages such as Spanish are a plus.
