Order Management Assistant - Temporary

About the role

Volvo Group is hiring a temporary Order Management Assistant in Istanbul for a one-year period. The role sits within Volvo Group Digital Technology & Operations (DTO), a new division focused on digital products built in agile, cross-functional teams. You will help Volvo Penta process orders accurately and on time, from creation through to shipment.

Key responsibilities

• Create, monitor and manage sales orders so they are released to production on schedule.
• Review and validate order accuracy, completeness and readiness before release, and resolve hold codes to avoid delays.
• Work with Logistics and Sales to confirm delivery schedules and give customers accurate order acknowledgements and promised delivery dates.
• Check payment terms and status in SAP, and coordinate payment-related updates with stakeholders.
• Review customs and shipping documents for compliance, including pricing, Incoterms, quantities and product specifications.
• Monitor unapplied invoices and outstanding payments with the Finance team, and handle returns, order modifications and resales.
• Create debit and credit orders to correct invoicing discrepancies, and support inventory optimisation by reducing and shipping unapproved stock.
• Follow up on customer account receivables and take part in regional and global meetings and cross-functional initiatives.

Required profile

• Bachelor's degree in Business Administration, Foreign Trade, Logistics or a related field.
• Long-term internship or work experience in foreign trade, order management, logistics or related functions is a plus.
• Excellent written and spoken English.
• Detail-oriented, with strong follow-up, coordination and communication skills.

Required skills

• Proficiency in MS Office applications.
• Experience with Oracle and SAP is an advantage.
